An audit-proof guard logbook: What it really requires

The guard logbook documents chronologically what happened during a duty period: the start and handover of a shift, patrols, special incidents, reports, and handover. In a dispute, it is the central evidence for the customer, insurance company, and authorities. The Bewachungsverordnung requires security companies to keep corresponding records.

The term does not mean "digital", but four specific properties:

• Immutability: An entry cannot be changed later without detection. Corrections are identifiable as corrections, and the original remains visible.
• Traceability: Every entry shows who created it and when.
• Completeness: No gaps, no silent deletions.
• Availability: The entry can be found and read throughout the entire retention period.

A paper logbook only appears to meet the immutability requirement. Pages can be removed, entries can be added later, and handwriting does not reliably prove either the time or the author. An Excel file is even weaker: It can be overwritten completely without leaving a trace. A guard logbook template is suitable for getting started quickly, but it is weak as evidence.

Entries are fixed with a timestamp, cannot be changed later without detection, and include the author, site, and optionally a photo and location directly with the entry.
