Getting Started
Scheduling
- Duty Roster and SchedulingSite rows on a timeline. Draw, resize, split and assign. A set of rules checks every assignment in the background.
- Orders and SitesThe order generates the shifts. The site provides the geofence, contacts and prices.
- Shift Marketplace and Self-SchedulingOffer open shifts to security officers and let them claim the shifts themselves. The first to accept gets the shift.
- Absence and ReplacementA sickness report starts a process, not automatic replanning. The scheduling team retains the decision.
- John AI, the Replacement AgentFinds replacements for uncovered shifts and contacts security officers in stages. Completely disabled by default.
- SubcontractorsSend shifts to partner companies, which staff them with their own security officers. The partner company does not see your prices.
- Lists, Columns, and ViewsEveryone works differently. Each of the three main lists can therefore be configured, and your settings can be saved.
- Sending SchedulesSend the plan as a PDF to a security officer or the customer.
- Operations CenterThe full-screen map shows the layout of a site. Use it to mark where people stand, which routes they take and which areas are blocked.
Time and Payroll
- Time TrackingSecurity officers clock in and out in the app, not in the Cockpit. The server checks the location and records the timestamp.
- Hours ReportThe hours report is the only calculation engine for minutes. Payroll, invoicing and controlling all use the same source.
- Payroll and PremiumsBalerion Security calculates gross pay and tax-free premiums. The payroll office handles payroll tax, social insurance and net pay.
- ExpensesSecurity officers submit their expenses themselves, the office decides, and an approval goes directly into payroll.
- Terminal at the SiteA tablet at reception serves as a time clock for security officers without a smartphone.
- Wage Types and Premium RulesThe items carry the wage type numbers used by your payroll software so that the payroll export can be processed there. Maintain them here.
- Collective Agreement RegionsCompanies operating across federal state borders do not pay the same rates everywhere. Collective agreement regions keep the rates separate and dated.
- Payroll HandoffThe reviewed payroll preview is sent to the payroll office as a run. Every run is dated and traceable.
Billing
- Invoicing and ControllingReviewed hours become a draft invoice. Which hourly rate applies depends on where you maintained it.
- Period ClosingA closed month remains fully readable. Only write operations are locked.
- AnalysisGroup and export hours across up to three levels. No monetary figures, deliberately.
- E-Invoice, XRechnungIssue invoices in XRechnung format, individually as a download or automatically when sending.
- Price IncreaseRaise hourly rates for many customers at once, by a percentage or a fixed surcharge. Calculate first, then execute.
- Incoming InvoicesCompare what a subcontractor invoices with what they are entitled to invoice under your rates.
- Deals and Pricing ModelsA deal is a pricing model: a set of billing rates by employee category that you can assign to several customers at the same time.
Records
- Guard PatrolsCheckpoints at the site, patrols in the app, and evidence in the Cockpit. This also includes an honest explanation of what a scan proves.
- Digital Guard LogbookSeven entry types, optional photos, and no option to change anything afterward. This is precisely what makes it useful as evidence.
- Supervisory PatrolsThe supervisory team visits sites and documents what they find. External supervision, not self-monitoring.
- Audit LogEvery overridden rule is listed here with the person, time, and reason. An empty log is the desired result.
Team
- Team and RolesSix roles, with a finely structured set of permissions above them. What someone sees is determined by the permission, not the role alone.
- Qualifications and § 34aSeven qualifications, nine document types and a check that strictly blocks scheduling.
- AbsencesFive types, four states. And one type that is approved without blocking scheduling.
- Site BlocksBlock a security officer from a specific site, usually at a customer's request. The strictest block in the system.
- Betriebsrat and Plan ApprovalFor companies with codetermination: the monthly plan is sent out only after Scheduling and the Betriebsrat have approved it.
- Site ManagerPlans and manages assigned sites without access to personnel, customers, or finances.
