Absence and Replacement

A sickness report starts a process, not automatic replanning. The scheduling team retains the decision.

What happens after a sickness report

If a security officer reports sick in the app, the result depends on when they report it:

  • Before the shift starts: the assignment is treated as declined.
  • After the start, without check-in: no-show.
  • After the start, with check-in: completed, with check-out at the time of the report. This keeps the time already worked billable.

The shift returns to "open" and is marked red on the board. The scheduling team receives a notification in the bell.

Why no replacement is assigned automatically

This is the most important expectation to correct: a sickness report does not post the shift to the marketplace or start an automatic search. It remains open until someone acts.

The reason is practical: whether to call, assign directly or advertise depends on the site, the time and the customer. The scheduling team makes this decision.

There are three ways to proceed: assign directly, post to the marketplace or let the replacement agent take over. See John AI. The process runs without intervention only if "Sickness report starts the search automatically" is explicitly enabled there.

Alert and warning cards on the overview

There are two cards at the top of the home page. The red card shows what is urgent now: a security officer did not appear, a check-in is missing, or a shift is unstaffed and is already running or starts in no more than eight hours. The yellow card collects unstaffed shifts further in the future.

Hovering over either card expands it into the complete list. Each entry includes the date, time, site and reason. Clicking pins the list open.

The cards themselves contain no action. They show the situation. Actions are available in the alert banner below.
